Privacy Policy

Effective 23 October 2026

1. Who we are

Minpraxis Solutions Ltd. ("Minpraxis", "we") is responsible for the personal information described in this policy. We are based at 2560 Shell Rd Unit 3018, Richmond, BC V6X 0B8, Canada, and run the website www.minpraxis.com.

We handle personal information in line with British Columbia's Personal Information Protection Act (PIPA) and, where it applies, Canada's Personal Information Protection and Electronic Documents Act (PIPEDA).

2. What this policy covers

This policy covers personal information we collect:

  • through our website, including the contact form;
  • when you email or call us; and
  • from the people we work with in business: clients, prospective clients, partners and suppliers.

It does not cover technical data from client projects, such as drill core test results, which we handle under our agreements with clients. It also does not cover other websites we link to, such as LinkedIn or the publishers of our papers.

3. Information we collect

Contact form. Your first and last name, email address, company and phone number (both optional), your message, the language of the page you used, and a record that you agreed to this policy.

Emails and calls. Your name, contact details and what you tell us.

Business contacts. Names, job titles, company, business email address and phone number, and the correspondence and details we need to quote, deliver and invoice our services.

Website analytics. We use Cloudflare Web Analytics to count visits. It records the pages viewed, the referring site, browser and device type, and country, in aggregate. Cloudflare states that it does not use cookies and does not track visitors across other websites.

Server logs. Our web host records technical details such as IP address, browser, the pages requested and the time of each request, to keep the website running and secure.

Map on the Contact page. The map is provided by Google Maps. When that page loads, Google may collect your IP address and device information and set cookies, under Google's own privacy policy.

Our website is meant for businesses, and we do not knowingly collect personal information from children.

4. How we use it

We use personal information to:

  • reply to your enquiry;
  • prepare proposals, deliver our services, and manage contracts and invoices;
  • keep in touch with the people we work with about current or past work;
  • run, secure and improve our website, using aggregated analytics; and
  • meet our legal and accounting obligations.

We do not sell personal information. We do not send marketing or newsletter emails unless you have separately agreed to receive them, as Canada's Anti-Spam Legislation (CASL) requires.

5. Your consent

When you send the contact form, you agree to us using your details to reply to you. When you deal with us in business, we use your business contact details for that relationship.

You can withdraw your consent at any time by writing to us (section 13), unless a law or a contract requires us to keep the information. If you withdraw it, we may not be able to answer your enquiry or continue working with you.

6. Who we share it with

We share personal information only with the service providers that help us run our business, and only what they need:

ProviderWhat forWhere it is processed
FormspreeDelivers contact form messages to info@minpraxis.comUnited States
CloudflareWebsite analyticsCloudflare's global network
ICDSoft (our web host)Hosts the website and its server logsUnited States

We may also share information with our professional advisers, such as lawyers and accountants; when a law, court or regulator requires it; or as part of a sale or merger of our business, where the other party agrees to protect it as this policy does.

7. Storage outside Canada

Some of our service providers store or process information outside Canada, mainly in the United States. While it is there, it is subject to the laws of that country and may be accessible to its courts and authorities. We choose providers that commit to protecting the information they handle for us.

8. How long we keep it

We keep enquiries and the related correspondence for up to two years after our last contact with you, then delete them. Copies of form messages held by Formspree are deleted automatically after 30 days.

Information that becomes part of a business relationship, such as contracts and invoices, is kept for as long as that relationship and the law require, for example for tax and accounting records.

9. How we protect it

We protect personal information with reasonable safeguards: only the people at Minpraxis who need it can access it, our website uses an encrypted connection (HTTPS), and we use established service providers. No way of sending or storing information is completely secure, so we cannot guarantee absolute security.

10. Your rights

You can ask us:

  • what personal information we hold about you, how we use it and who we have shared it with;
  • to correct information that is inaccurate or incomplete; and
  • to stop using your information, by withdrawing your consent.

We will reply within 30 days, as BC law requires, and explain why if we cannot help. If you are not satisfied with our answer, you can contact the Office of the Information and Privacy Commissioner for British Columbia.

If you are outside Canada, the law where you live may give you further rights. Contact us and we will help.

11. Cookies

Our website does not set its own cookies or store information in your browser, and Cloudflare Web Analytics works without cookies. The Google Maps embed on the Contact page may set Google cookies. You can block or delete them in your browser settings without affecting the rest of the website.

12. Changes to this policy

We may update this policy as our website or services change. We will post the updated policy on this page, with the date it takes effect.

Effective date: 23 October 2026
